Data Protection Statement

We are a Data Controller in terms of the Data Protection Act 1998. In order to assess your application for housing, we collected information about you, your family members and your personal circumstances. We will keep this information for as long as you are a tenant and will ask you to update some of it each year. Over the course of your tenancy we may collect other information about you in order to manage your tenancy. This information includes;

  • Your name, date of birth, and those of your family members
  • Telephone numbers
  • Emergency contact details
  • Information relating to your tenancy including any complaints made about or by you
  • Information about your health and that of members of your family
  • Information about your employment, income and benefits you receive

We will use this information internally in order to manage your tenancy.

We may share this information with:

Utility suppliers so that they can bill you for gas and electricity or so that we can take advantage of subsidised energy efficiency measure.

Payment Agencies such as your/our bank and Allpay in connection with rent and other payments made to us

East Lothian Council in relation to;

  • Any application you may make for Housing Benefit
  • Council Tax - so that they can send your Council Tax Bill
  • Antisocial behaviour either by or against you
  • Re-housing Applications
  • Child protection (Social Work Department)
  • Tenancy Support
  • Criminal Justice

Contractors and consultants so that they can contact you about work to be done to your home

Welfare Rights or Advice services so that they may offer you help

Support Providers so that we can help you to access support you may need to maintain your tenancy

Our solicitors in the event that we need to take action against you for breach of your tenancy agreement

Debt collection agencies if we need to collect money owed to us

The Police if they are investigating suspected criminal activity

Other landlords to provide tenancy references or when negotiating mutual exchanges or other re-housing options

You have the right to see all of the information we hold about you (on payment of a fee) and to correct information if it is wrong.
